Job Summary:

The Executive Assistant provides high-level, confidential administrative support to senior executives. This role requires a seasoned professional who exercises discretion, handles complex responsibilities, and serves as a liaison between the executive team and internal/external stakeholders. The Executive Assistant ensures efficient operation and professional image of the executive office.

Key Responsibilities:

  • Provide proactive calendar management, including scheduling meetings, appointments, and travel arrangements for senior executives.
  • Draft, review, and manage executive correspondence, presentations, and reports with a high degree of professionalism and confidentiality.
  • Serve as the point of contact between executives and internal/external clients, stakeholders, and employees.
  • Coordinate and prepare materials for board meetings, executive meetings, and other high-level events.
  • Monitor and manage executive-level projects, including tracking deadlines and follow-ups on deliverables.
  • Maintain efficient filing systems and document management (physical and digital).
  • Conduct research and prepare briefing documents, meeting agendas, and talking points for key engagements.
  • Handle confidential and sensitive information with discretion and integrity.
  • Support budgeting and expense reporting processes using internal systems and tools.
  • Mentor junior administrative staff or collaborate with other executive assistants across the organization.

Requirements

Qualifications:

  • Bachelor's degree in Business Administration, Management, or related field.
  • At least 5–8 years of relevant executive support experience, ideally in a corporate or multinational environment.
  • Demonstrated ability to handle complex scheduling, communications, and high-stakes correspondence.
  • Proficiency in Microsoft Office Suite and other productivity tools (e.g., Zoom, SharePoint, Adobe, AI will be a plus).
  • Excellent organizational, communication, and interpersonal skills.
  • Strong problem-solving abilities and decision-making skills under minimal supervision.
  • High level of professionalism, discretion, and confidentiality.

Working Conditions:

  • Office-based role with occasional flexibility for hybrid work (as per company policy).
  • May require occasional extended hours or travel depending on executive schedules and commitments.
