Key Responsibilities:

1. Logistics Support:

  • Audit UPS shipping bills and freight bills to ensure accuracy and compliance with company standards.
  • Receive inventory into NetSuite, ensuring accurate entry and tracking.
  • Enter shipping data and fulfill orders in NetSuite, ensuring timely and accurate order processing.
  • Manage logistics-related inquiries and provide support as needed.

2. Inside Sales Support (Latin America & USA):

  • Assist the sales team with quoting support for customers in Latin America and the USA.
  • Prepare, verify, and deliver sales quotes in a timely manner, ensuring alignment with sales strategies and customer requirements.
  • AR follow up when needed
  • Track sales quotes and provide status updates to the sales team as needed.

3. Administrative Support:

  • Manage small purchases and office administration, ensuring high satisfaction rates and cost-effective solutions.
  • Ensure all company facilities (offices, restrooms, front desk, etc.) are clean, organized, and user-friendly.
  • Book flights, hotels, and other travel arrangements for US-based staff, ensuring efficiency and cost management.
  • Organize team events and provide administrative support for internal meetings, conferences, and other company events.
  • Handle other administrative requests as assigned by management.

Schedule:

Monday-Friday, 6:30AM-3:00PM

Requirements

Key Qualifications:

  • Proven experience in logistics, sales support, and office administration.
  • Proficiency in NetSuite or similar ERP systems for inventory and order management.
  • Strong organizational skills with the ability to manage multiple priorities.
  • Excellent attention to detail and a proactive approach to problem-solving.
  • Strong communication skills and the ability to work effectively with cross-functional teams.
  • Bilingual (English and Spanish) preferred for Latin America support.
  • Experience in managing travel arrangements and event coordination.
