Key Responsibilities:
1. Logistics Support:
- Audit UPS shipping bills and freight bills to ensure accuracy and compliance with company standards.
- Receive inventory into NetSuite, ensuring accurate entry and tracking.
- Enter shipping data and fulfill orders in NetSuite, ensuring timely and accurate order processing.
- Manage logistics-related inquiries and provide support as needed.
2. Inside Sales Support (Latin America & USA):
- Assist the sales team with quoting support for customers in Latin America and the USA.
- Prepare, verify, and deliver sales quotes in a timely manner, ensuring alignment with sales strategies and customer requirements.
- AR follow up when needed
- Track sales quotes and provide status updates to the sales team as needed.
3. Administrative Support:
- Manage small purchases and office administration, ensuring high satisfaction rates and cost-effective solutions.
- Ensure all company facilities (offices, restrooms, front desk, etc.) are clean, organized, and user-friendly.
- Book flights, hotels, and other travel arrangements for US-based staff, ensuring efficiency and cost management.
- Organize team events and provide administrative support for internal meetings, conferences, and other company events.
- Handle other administrative requests as assigned by management.
Schedule:
Monday-Friday, 6:30AM-3:00PM
Requirements
Key Qualifications:
- Proven experience in logistics, sales support, and office administration.
- Proficiency in NetSuite or similar ERP systems for inventory and order management.
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent attention to detail and a proactive approach to problem-solving.
- Strong communication skills and the ability to work effectively with cross-functional teams.
- Bilingual (English and Spanish) preferred for Latin America support.
- Experience in managing travel arrangements and event coordination.
