Real Estate/Transactional and Litigation Legal Assistant

This position gives administrative support primarily and directly to two to three Real Estate Business Attorneys, while occasionally helping the firm's litigation practices.

Qualified candidates will have at least 2 years of real estate or transactional (contract) experience, with some litigation abilities (e-filing, maintaining court dates, litigation document editing).

This position reports to the Office Manager and assigned attorneys.

Support includes:

  • crafting and editing letters, email, and case matter documentation
  • entering complete new business data into the firm's system for accurate conflict checks, accurate billing, and in preparation of supporting documentation;
  • docketing of dates into a central docketing system
  • arranging travel
  • preparing expense reimbursement documentation
  • tracking attorney time daily
  • maintaining files for all attorney work and client information
  • providing documentation, as required, to clients

The ideal candidate will:

  • consistently ensure details are complete in documentation and data entered
  • expect and seek a highly-productive environment
  • practice a high level of organization

The firm is well established, providing training, supportive resources for ongoing learning, technical help. This position provides assistance to attorneys in the real estate and transactional practice, but occasionally helps attorneys in the firm's large litigation practice.

Essential Job Functions

  • Real estate and/or corporate transactional work; UCCs, electronic closings, closing books, real estate and contract terms
  • Experience e-filing and in general litigation support; format and proofread pleadings, letters, memos, and other documents
  • Open and close new matters, including conflicts submissions
  • Schedule meetings, conference rooms, catering and related logistics for meetings (own the process of ensuring proper set up)
  • Maintain attorney calendars; plan and schedule conferences, teleconferences, and travel arrangements
  • Billing; maintaining up to date records daily/weekly
  • Maintain an appropriate filing system for all attorney and client work
  • Perform other duties within the realm of legal support as needed

Minimum Requirements:

  • Must exhibit a high degree of initiative in managing multiple priorities, able to re-prioritize when necessary, utilizing excellent judgment, thoughtful decision-making skills
  • Strong proofreading skills
  • Able to work as part of team, willing to help tackle projects whether big or small
  • Excellent grammar, clear communicator
  • Technically proficient in MS Word, Outlook, and related MS software
  • Organized, ordered work style
  • Able to manage time well
  • Ability to absorb information quickly and adapt to change
